Poste et missions :

The Office Manager will oversee the day-to-day operations of Graitec office locations, ensuring a smooth and efficient work environment. This role involves managing office supplies, coordinating with vendors, and supporting the team with administrative tasks. The ideal candidate will have excellent organizational skills, attention to detail, and the ability to multitask.

Key Responsibilities:
  • Manage office supplies and inventory, ensuring that the office is well-stocked and organized.
  • Coordinate with vendors and service providers for office maintenance and supplies.
  • Handle incoming and outgoing correspondence, including emails, phone calls, and mail.
  • Plan and organize events and activities across Graitec’s offices.
  • Ensure the office environments are clean, safe, and conducive to productivity.
Functional Support & Employee Engagement
  • Coordinate new hire onboarding activities in collaboration with the HR department (e.g., workstation setup, welcome packages, orientation scheduling) .
  • Support marketing with logistics of assets for trade shows and events
  • Support small-scale Finance and HR administrative tasks such as maintaining employee records, updating office directories, and distributing internal communications.
  • Work with EMEA office managers to support Executive Committee travel support.
  • Serve as a liaison between the U.S. and Canada offices to ensure consistent communication and alignment on culture and engagement initiatives.
  • Partner with the Engagement Committee, helping to plan and execute employee engagement initiatives, wellness activities, and team-building events.
  • Champion a positive workplace culture by promoting collaboration, inclusivity, and fun across offices.

Profil recherché

  • Proven experience as an office manager, administrative assistant, or similar role.
  • Excellent organizational and time management skills.
  • Strong communication and interpersonal skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) .
  • Ability to work independently and as part of a team.
  • High school diploma or equivalent; additional qualifications as an Office Manager or Secretary will be a plus
